Problems associated with the absence of centralized File Transfer system

The difficulties encountered in the transmission of data within a production environment can be briefly summarized as follows:

1. the improper use of e-mail to send ‘’heavy’’ production files, with the consequent negative repercussions on the company e-mail system;
2. the adoption of non-intuitive FTP systems for less advanced users (the majority);
3. unproductive time spent in research and in the collection and mastering of supports to send by courier;
4. courier expenses;
5. risks associated with shipping (lateness, damages or losses);
6. total lack of automation informing users of the arrival of new files.

4-Flying solution: 4-Files

4-Files is a module that manages the transmission of files “from” and “through” the “4-Flying” system, assuring authorized users secure access, with a personal account from which they can download and upload files. This module is a useful tool for all users involved in the production process: from the photography studio, creative professionals, and executives to prepress workers and printers for the delivery of final data.

4-Files advantages

1. management of user and group access privileges;
2. preview of images and PDF files;
3. sending of automated notifications based on pre-defined events;
4. use of JSender (a Java droplet), allowing the sending of files in the "4-Flying" system by simply dragging them onto an icon;
5. compilation of information fields associated with the files to be sent (job ticket);
6. integration with automation of preflight applications;
7. integration with other “4-Flying” modules, particularly with the 4-Track module for the creation of activity reports;
8. optimization of communication between all departments involved in the production cycle, from the input of initial data to the output of the final data for publication;
9. elimination of downtime and courier costs associated with the preparation and sending of data on DVD.
